Business Operations Manager (1099 Contractor)
We're growing quickly, and we're looking for someone who thrives on bringing order to fast-moving businesses. This is not an executive assistant role. We're looking for someone who thinks like an owner, anticipates challenges before they happen, builds systems that scale, and keeps our business moving forward.
The purpose of this role
The purpose of this role is to own the operational execution of WIIRE®'s launches, programs, events, marketing, partnerships, and contractor team so the founders can spend their time on vision, content creation, community, strategic relationships, and growing the business.
This person is the operational heartbeat of WIIRE®. They don't simply manage tasks. They own outcomes, identify opportunities, solve problems proactively, and continuously improve how our business operates.
The seven outcomes this role owns
- Projects ship on time. Own the planning and execution of launches, events, podcast production, sponsorship deliverables, marketing campaigns, content calendars, and internal initiatives. Ensure projects move from idea to completion with clear timelines, accountability, and follow-through.
- Contractors are clear, accountable & performing. Lead and manage our contractor team, including the Community Manager, Social Media Manager, Podcast Strategist, Podcast Editor, and additional contractors as we grow. Ensure everyone understands priorities, communicates proactively, meets deadlines, and consistently delivers high-quality work.
- Our business runs on great systems. Continuously improve how WIIRE® operates. Identify bottlenecks, create SOPs, improve workflows, optimize Monday.com, and build systems that allow the business to scale without creating unnecessary complexity. You naturally ask "there has to be a better way," and then build it.
- KPIs drive decisions. Own our business scorecard. Track and report KPIs across community growth and retention, podcast performance, email marketing, sales and conversions, social media, events, partnerships, and customer satisfaction. You're not simply reporting numbers, you're identifying trends, explaining why they're happening, and bringing recommendations when results aren't meeting expectations.
- The founders stay focused on their highest value work. Protect Amelia and Grace's time by removing operational bottlenecks. Filter decisions, solve problems independently, and bring strategic issues forward with recommendations instead of simply asking what to do. Our goal is for the founders to spend their time focused on vision, partnerships, teaching, community, and business growth, not chasing projects or following up with contractors.
- New revenue opportunities are identified. Think like a business owner. We're looking for someone who regularly identifies opportunities to improve revenue, profitability, customer experience, operational efficiency, new offers, partnerships, upsells, and automation. We value ideas just as much as execution.
- The business gets better every month. Every month WIIRE® should become more organized, more efficient, better documented, more profitable, and easier to scale. If we look back after a year, we should clearly see that our business operates at a significantly higher level because of you.
What you'll spend your time doing
- Operations management (~40%): own Monday.com and project management systems, manage launches from planning through completion, lead weekly operations meetings, manage contractor communication and accountability, build and maintain SOPs, improve workflows and cross-functional communication, ensure systems and platforms work together efficiently
- Strategic execution (~30%): translate founder vision into execution plans, track KPIs and report on business performance, identify operational improvements, recommend revenue and efficiency opportunities, support quarterly and annual planning, flag strategic decisions requiring founder input while independently handling day-to-day operations
- Hands-on execution (~30%): build dashboards and documentation, quality assurance across launches, marketing, and customer experience, implement new systems and processes, update platforms and operational documentation, support miscellaneous operational projects that move the business forward

- Experience with these is preferred, but we're more interested in someone who learns technology quickly and enjoys improving systems

Preferred experience
We're less interested in degrees than we are in experience. Ideal candidates have:
- 5+ years in an Operations Manager, Online Business Manager (OBM), Integrator, or Project Management role
- Experience managing remote contractors
- Experience supporting founders in a fast-growing business
- Strong project management and organizational skills
- Experience building SOPs and scalable systems
- Strong analytical thinking and comfort with KPIs

Success in your first 90 days
By the end of your first 90 days, you'll have:

- 95%+ of launches, events, campaigns, and projects are completed on or ahead of schedule
- Weekly operations meetings are organized, productive, and always end with clear action items and accountability
- Monday.com accurately reflects project status, priorities, and deadlines
- Contractors consistently know what's expected of them without founder intervention
Leadership & accountability
- Contractors meet deadlines and consistently produce high-quality work
- Team communication is proactive, timely, and solution-oriented
- You anticipate roadblocks before they become problems and present solutions instead of simply escalating issues
- Amelia and Grace spend significantly less time following up on projects and managing day-to-day operations
Systems & process improvement
- Every recurring workflow has a documented SOP
- Operational inefficiencies are consistently identified and improved
- New systems are implemented successfully and adopted by the team
KPI & business performance
- A company KPI dashboard is delivered by the third business day of each month
- KPIs are monitored consistently and used to guide business decisions
- When metrics fall below expectations, you proactively bring recommendations and action plans
Business growth
- You regularly identify opportunities to improve revenue, profitability, customer experience, or operational efficiency
- You contribute ideas that help WIIRE® grow instead of simply maintaining existing systems
